Custom Alaska Private Touring Procedures Payment Procedures

All rates are quoted in US Dollars and include applicable taxes and fees, unless otherwise noted.

Deposit Payment
Deposit terms will vary depending on the services provided and time of reservation. Specific payment terms will be provided with our initial custom tour proposal.

Final Payment
Final payment is typically due 60 days prior to arrival. Any exceptions will be clearly outlined in the Reservation Agreement that accompanies your tour proposal.

Last-minute Alaska Private Touring Requests
Because Alaska is not typically a last-minute destination, it can be especially challenging to design and plan custom services. For this reason, services requested within 30 days of arrival will require a non-refundable deposit of USD 125 per itinerary. This last-minute fee helps cover the time needed to adequately service your late request including contacting our suppliers to verify the availability of services and creating a tour program offer. Payment of this fee is required by credit card before we can begin to process your inquiry and is not refundable, but may be applied to your final invoice should you choose to confirm your program with us. We strongly encourage visitors to plan their services as far in advance as possible.

Forms of Payment

Travel Agents
Unless otherwise specified at the time of initial contact, all custom service rates are quoted to travel agents on a net, non-commissionable basis in US Dollars. The travel agent is responsible for adding the agency commission or booking fee when quoting services to clients. Payments to Alaska Private Touring can be paid by company check or wire transfer for the actual net amounts quoted and no agency commission will be paid.

Payments can also be made through the Alaska Private Touring website by client credit card. In this case, the travel agent must advise Alaska Private Touring of the rate quoted to clients so that payment through our secure website will also include relevant agency booking fees/commissions. Any agency booking fees or commissions due to the travel agency will be paid 30 days after the completion of travel and will reflect any changes or cancellations that occur during travel.

Tour Operators, Tour Leaders / Organizers
All rates quoted to Tour Operators and Tour Leaders / Organizers are net, non-commissionable in US Dollars and payments to Alaska Private Touring must be received by company check or wire transfer. Sorry, no exceptions.

Direct Reservations
Travelers who contact Alaska Private Touring directly for assistance with Private Shore Excursions or Private Touring Programs must pay by credit card through our secure website. A web link will be provided so that payment details can be submitted safely. All rates quoted are in US Dollars.

Room Configurations

Most hotel rooms in Alaska have either 2 double or 1 queen-size bed in each room (varies by hotel) and all rates quoted for single/double/triple/quad occupancy are based on existing bedding. Rooms with 3 or 4 beds for the most part do not exist. While some properties do offer rollaway beds, these are subject to availability upon check in and cannot be guaranteed or confirmed in advance. Additional fees for rollaway beds would need to be paid directly to the property.

Child Policy
Upon request rates will be provided for children ages 11 and under. Child rates apply only when the child shares a room with at least one adult and is based on the existing bed configurations within the room. Maximum occupancy is typical 4 guests, including adults and children.

Connecting Rooms
Connecting (adjoining) rooms are extremely limited with most properties not offering these rooms at all. The few properties that do have connecting rooms often have a very limited number and therefore these special rooms are subject to availability at the time of check in. Alaska Private Touring will pass along a family's request for connecting rooms, where possible, but unfortunately we cannot guarantee connecting rooms.

Special Request

Meals
Due to the remote nature of many Alaskan suppliers, additional time and planning is required to accommodate special dietary needs. For this reason any dietary restrictions should be specified at the time of reservation or included with the final group manifest. Every effort will be made to provide reasonable options to accommodate guests based on the specific itinerary and destinations included.

Hotel Rooms
Special room requests, such as ground-level, adjoining or connecting (very limited), near elevator, etc. , should be specified at the time of reservation or provided with the final group manifest. Alaska Private Touring will make every effort to convey these special requests and will pass them along to the various properties, however ultimately each hotel makes final room assignments. For this reason Alaska Private Touring cannot be held responsible if special room requests are not honored by the properties.

Change Fee Policy

Once confirmed and invoiced, any changes to existing reservations are subject to an administrative fee, plus any applicable fees charged by service providers. This applies to changes of dates, names, or services. All requests for changes must be received in writing. The following administrative fees will be charged every time a change is made.  

Changes within 45 days of service

Cancellation Policy

All cancellation requests must be received by our office in writing. Cancellation penalties will vary depending on the services cancelled and date the written request was received by Alaska Private Touring. Specific cancellation policies will be outlined in the Reservation Agreement that accompanies our custom tour proposal.

No Shows / Unused Services

Please keep in mind that services operate in all kinds of weather. Any pre-booked service not checked-in for is considered a no-show and no refund will be issued. Most services cancelled by vendor for safety reasons are refundable, with few exceptions as noted.

Client Refunds

Some circumstances, such as weather conditions, operator mechanical failures, or other reasons beyond anyone's control will result in the cancellation of service by the service provider and in these cases clients are generally due a refund. Refunds due for such cancellations must be verified by the Alaska Private Touring team prior to the refund being issued, and funds will be refunded through the original payee.

Customer Complaints

In the unlikely event that clients encounter problems during their journey as organized by Alaska Private Touring clients MUST contact Alaska Private Touring immediately for assistance. If the group is traveling with a guide provided by Alaska Private Touring, group members are expected to bring their concerns to the guide so that such concerns can be addressed immediately if needed.

If guests are traveling independently or with their own tour leader, it is expected that someone on behalf of the traveling party will address any concerns or problems to the Alaska Private Touring team as soon as possible. An after-hours contact phone number will be provided with final travel documents so that Alaska Private Touring staff can be reached at any time, day or night. For concerns involving a hotel and/or tour supplier for services arranged by Alaska Private Touring, it is also imperative that the representative file a report with the supplier. If neither Alaska Private Touring nor the supplier is contacted at the time of the problem, no claims will be considered for compensation.

If a written account of the concern is filed, it should be forwarded to Alaska Private Touring within 30 days of completion of the travel services provided by Alaska Private Touring. We cannot consider claims received after 30 days.

Responsibility

Alaska Private Touring and its affiliated entities and its employees, shareholders, officers, directors, successors, agents, and assigns, neither own nor operate any person or entity which is to, or does, provide goods or services for these trips or tours.   Because Alaska Private Touring assumes no responsibility for and cannot be held liable for any personal injury, death, property damage, or other loss, accident, delay, inconvenience, or irregularity which may be occasioned by reason of (1) any wrongful, negligent, willful, or unauthorized acts or omissions on the part of any of the tour suppliers, or other employees agents, (2) any defect in or failure of any vehicle, equipment, instrument owned, operated or otherwise by any of these suppliers, or (3) any wrongful, willful, or negligent act or omissions on any part of any other party not under the supervision or control of the Operator.

Act of God / Force Majeure

Alaska Private Touring and/or its suppliers cannot assume liability for any loss, damage or injury of any nature resulting from an Act of God or any other force majeure (arrangements in any way because of unusual or unforeseeable circumstances beyond our control). These can include, for example, war, riot, labor strike dispute, terrorist activity and its consequences, natural or nuclear disaster, fire, or adverse weather conditions.   We highly recommend offering travel insurance protection to clients.
